About the Role:

Atmosphere is seeking a highly resourceful Executive Assistant to serve as a trusted partner to our Chief Executive Officer (based in Austin) and Chief Revenue Officer (based in NYC). This role operates at the center of executive decision-making, ensuring leadership time, focus, and energy are directed where they matter most.

You bring sharp judgment, discretion, and exceptional organizational instincts. You manage complex calendars and travel with precision, anticipate needs before they arise, and create structure around competing priorities. Resourceful and solutions-oriented, you navigate ambiguity independently and drive follow-through across shifting demands.

Beyond executive partnership, you will contribute to select initiatives within the NYC office and Sales team, providing coordination and operational support where it adds the greatest leverage. Administrative excellence is paired with proactive office support to help sustain a polished, high-functioning New York workspace.

The role will report directly to our VP of HR, and will be based out of our NYC office 3 days a week (Tuesday, Wednesday, and Thursday).

Key Responsibilities:

  • Executive Team Support (50-70%)
    • Coordinate and manage complex schedules ensuring optimal time allocation for meetings, appointments, and other commitments
    • Schedule, plan, and organize board meetings, conferences, and business events; prepare agendas, materials, and necessary resources
    • Anticipate scheduling conflicts, competing priorities, and logistical challenges; independently identify risks and implement solutions before they escalate, ensuring seamless executive operations
    • Communication Liaison: Act as a key point of contact for internal and external communications on behalf of executives, effectively managing email correspondence and handling inquiries with professionalism
    • Travel Arrangements: Arrange travel itineraries, accommodations, and transportation for executives, optimizing travel logistics and ensuring smooth travel experiences
    • Information Management: Maintain confidentiality and accuracy of sensitive information; organize and maintain electronic and physical filing systems
    • Expense Management: Track and reconcile expense reports, ensuring accuracy and adherence to budget guidelines
  • Office Management (20-30%)
    • Ensure office supplies (stationery, IT equipment, snacks, etc.) are ordered, stocked, and maintained efficiently
    • Support the day-to-day function of the NYC office, executing facilities-related priorities and initiatives in partnership with the Workplace Experience Manager
    • Partner with HR to coordinate onboarding logistics, including desk assignments, workspace setup, and equipment readiness
    • Maintain clear communication with building management and security to address routine needs and help ensure a clean, safe, and functional environment
  • Operational Support (10-20%)
    • Step in to support NYC-based teams, including Sales, with logistical and administrative needs as needed, from coordinating reservations to preparing gift bags for meetings and events

Requirements:

  • Proven experience as an Executive Assistant or supporting senior-level leadership.
  • Excellent written and verbal communication skills - comfortable interfacing with executives and employees across multiple levels and departments
  • Strong organizational skills, with the ability to manage and maintain multiple projects, calendars, and initiatives simultaneously
  • Proficient in Google workspace and comfortable with technology tools for virtual collaboration and communication.
  • Exceptional interpersonal skills and strong professional demeanor.
  • Flexibility to work outside of normal office hours to accommodate executive requests and schedules.
  • Discretion and integrity to handle sensitive and confidential information.
  • Previous experience in a fast-paced start-up environment is a plus

Compensation & Benefits:

  • Base salary: $100,000 - $130,000*

*Actual salaries will vary and will be based on various factors, such as skills, experience, and qualification for the role. This position is also eligible for a discretionary bonus based on individual and company performance.
